When your RFQ's due date has passed (or at your discretion), you can close the RFQ from the Supplier’s tab on a quote's Responses page in Quoting. Clicking the Close RFQ button allows you to mark that your quote is now closed to any further responses. This is available to you as a user with the “Create RFQ” permission or if you're an admin.
Closing an RFQ on your side allows you to lock the RFQ lines for all suppliers, in order to guarantee that the offer conditions will not be changed at this point. This way an analysis for deciding awards can begin with the data integrity protected.
Once you click on Close RFQ, then the RFQ status will now show as “Closed” on your Quoting dashboard page, which you can see in both the Detail or Projects views. This results in locking lines for all of the suppliers. This functionality only locks the RFQ in terms of the supplier’s ability to respond and does not affect the ability of making edits on your side.
You have the ability as needed to reopen the RFQ. This is helpful for example when there is an extended due date. Clicking on Reopen RFQ will open the RFQ for all the suppliers who have not completed their responses yet. You will have the option of whether you want to notify the suppliers at this time of it being reopened. This is available to you when you have the appropriate “Reopen RFQ” permission.
For suppliers who already identified their RFQ as “Complete”, then their RFQ will not open at this time. However, you can proceed to open their RFQ by clicking on the red lock icon next to the supplier’s name after the RFQ has been reopened. You will see that their lock will turn black and "unlocked", which allows the suppliers to make additional submissions.
