The RFQ Reminder feature can help notify suppliers about unfinished quotes that are coming due. This system generated reminder email can streamline communication and improve supplier responses during the quoting process, by providing you with enhanced control over automated email notifications to suppliers. This helps to ensure timely submissions which will speed up your ability to complete quotes on time.

You can view and edit these reminders in an RFQ “Detailsˮ section. The box "Enabled" must be checked for reminders to be sent. Then you can specify the timing and frequency of them. The notifications will continue indefinitely until a supplier has marked their RFQ submission as "Complete".

  • Timing
    • Days before supplier due date: You can set reminders to be sent a specific number of days before the RFQ's supplier due date. You can choose to send it on the due date or up to 3 days before the due date.  The default is "Do not send" for both the "pre" and "post" due date reminders.

    • Days after supplier due date: You can choose to send the reminder on its due date. Optionally, you can continue to send reminders for a specified number of days after the due date if the RFQ is incomplete.

  • Frequency
    • You can choose the frequency to be: One time only, Daily, or Every other day.

Automated Email Notifications

When enabled, notifications will be sent to all supplier contacts linked to an RFQ who have not marked their submission as "Complete". Notifications include:

  • RFQ number
  • RFQ name
  • Due date
  • Direct link to view the RFQ
