Editable fields on the Responses page are the cells intended for supplier responses and any custom columns as per the template settings. Making changes to line items on behalf of a supplier is possible by simply editing the supplier's response fields in the RFQ. If a supplier is unable to access Supplyframe, then you can respond on their behalf. You can either edit directly in the table or send an export of the RFQ to the supplier from the Responses tab. After the supplier fills it out, then you can upload it back into Supplyframe.

To edit a supplier's response within Supplyframe, click on the cell that you want to modify. The cell will be highlighted and you can type in the new information within the cell. Use the enter key to save your modification.

If a field has data validation rules applied, then non-acceptable answers will not be able to be saved. In these cases, the line will be highlighted in red indicating the error.

The upload functionality requires the "Row ID" column to be kept intact. To utilize the upload functionality to import supplier responses, these are the following steps:

  1. Download the RFQ, ensuring the Row ID is correct. From the RFQ's Project dropdown, click on Export.

  2. Then send the Excel file to the supplier for them to fill in their responses. As needed, you can manually bring in pricing and other columns yourself from any file the supplier has provided using V-Lookups into the downloaded RFQ.
  3. Lastly, click on "Upload" to then import the updated Excel file and load its responses.

Reordering or Modifying Columns in Export 

When exporting an RFQ for quotation input, you adjust or delete any unnecessary (optional) columns as needed. This includes dragging and re-ordering columns. You will just need to keep the column headers and the Row ID intact. This will not impact the importing of the quotation.

Working RFQs from Multiple Groups

As the customer, you can maintain the specific group name or related information in your RFQ's "Name" or the "Description" field for your suppliers' reference.

On the supplier's side, they can easily find the RFQ name and comment within the "Description" information of the RFQ email. This is created by the Supplier Portal and lets the supplier know the owner of the RFQ.

Locking Supplier's RFQ

After you have finished responding on behalf of the supplier and completing their quote, you have the ability to lock the RFQ for them. This helps to prevent the supplier from editing the data. You can toggle the lock available for each supplier on the RFQ's Suppliers tab. The lock icon will turn red to confirm that it has been locked.

This will send a notification to supplier that the RFQ has been completed by you. As needed, click on the lock icon again if you need to reopen if the supplier.
